coreFORCE Advanced - Memberships: Refunding Membership Payments Via The Contact Menu.




This guide explains how to refund membership payments by accessing the order through the Contact Record, allowing you to efficiently search for a customer’s record and view their individual Order Details.

1. Click on Contacts




In your coreFORCE Admin Panel, navigate to the Contacts menu.

2. Click on Contacts




Select the Contacts submenu.

3. Contacts Page




On the Contacts Admin page, use the search bar to find the contact by name, email, phone, or other criteria. Alternatively, you can locate the contact directly from the Contacts List below.

4. Select your Contact




Locate the desired contact and double-click on the entry to open the Contact Details page.

5. Click on Orders




In the Contact Details page, navigate to the Orders tab. Here, you’ll find all membership payments and customer orders associated with the contact.

6. Order Info




Find the order you wish to refund.

7. ID Field




Click on the Order ID field to open the customer's corresponding order in the Orders Dashboard.

8. Click on REFUND




On the Orders Dashboard page for the selected order, locate the Refund button at the top of the page.

9. Items Section




In the Items section, adjust the returned quantity to match the quantity ordered if you are refunding the full payment amount.

10. PROCESS REFUND




To process the refund, you have two options:

Issue a gift card instead of refunding the original payment method by selecting this option.


If not selected, clicking the Process Refund button will refund the payment to the original payment method.

11. Notes




If you'd like to add notes, populate the Content field and choose whether the note should be viewable to the customer by selecting the Printed on Receipt option. Click Add Note to save your comments to this order.

12. Cancelling the Membership




Keep in mind that refunding the payment will not cancel the membership. If you also need to cancel the membership, there are two ways to do this:

Option 1:

Navigate to the Contacts menu and select the Contacts submenu.


Locate the client and open their Contact Details.


Go to the Membership tab.


Enter an End Date for the subscription to cancel it.

13. Cancelling a Membership Option 2




To stop the membership immediately, set the subscription as Inactive:

On your coreFORCE Admin Panel, press Shift + Shift to open the global search.


Search for Contact Subscription Maintenance and select it from the results.


Locate the client’s subscription by searching for their details.


Mark the subscription as Inactive to stop it immediately.
