coreFORCE Advanced - Memberships: Processing a Refund Via the Orders Dashboard




This guide provides a step-by-step walkthrough for refunding a membership sale or payment through the Orders Dashboard. It’s important to note that both startup sales and recurring payments are recorded as orders within the Orders Dashboard.

1. Click on Orders




Begin by navigating to the Orders menu from your coreFORCE Admin Panel.

2. Click on Dashboard




In the Orders menu, select the Dashboard submenu.

3. Order List




On the Orders Dashboard, you'll find a list of all existing orders in coreFORCE. If some orders are not visible, adjust the filter settings at the top to ensure you're viewing the desired data.

4. Select Order




Click on the order you want to refund.

5. Click on REFUND




At the top of the Order Details page, locate the Refund option.

6. Items Section




Go to the Items section and enter the correct return quantity.

7. Content




To add a note about the refund to this order, enter your content in the Content Box. If you want the customer to view this note, select the Printed on Receipt option.

8. Click on ADD NOTE




Click Add Note to attach the content to the order.

9. Send Gift Card




You can choose to issue a gift card as an alternative to refunding the previously used payment method.

10. Click on PROCESS REFUND




To refund using the original payment method, click the Process Refund button.

11. Cancelling the Membership




Keep in mind that refunding the payment will not cancel the membership. If you also need to cancel the membership, there are two ways to do this:

Option 1:

Navigate to the Contacts menu and select the Contacts submenu.


Locate the client and open their Contact Details.


Go to the Membership tab.


Enter an End Date for the subscription to cancel it.

To stop the membership immediately, set the subscription as Inactive:

On your coreFORCE Admin Panel, press Shift + Shift to open the global search.


Search for Contact Subscription Maintenance and select it from the results.


Locate the client’s subscription by searching for their details.


Mark the subscription as Inactive to stop it immediately.
