coreSTORE - Inventory: Variations
Variations:</u> These are different versions of the same product that come with pre-defined characteristics. For example, a t-shirt can have variations in "Size" (S, M, L) or "Color" (red, blue, green). Each variation typically has its own unique identifier (SKU or Item Number) for inventory management.
First, go to Inventory > Items.
Next, click the "+New Item" button at the top-right.
Next, we need to give the item a "Item Name", "Category" and any other information you want to list for this specific item.
Note: If you are using coreFORCE and intend to send these variations to your website, do NOT enable the "Is Ecommerce Item" checkbox on the "Item Info" tab initially. Instead, proceed with creating each variation SKU in these next steps below. After enabling the "eCommerce?" checkbox on the "Variations" tab at the top, you can then return to the "Item Info" tab to enable the "Is Ecommerce Item" checkbox and send all variations to the website.
After that, enable the "Item Has Variations" checkbox.
Next, select the "Variations" tab at the top.
Inside of here, go down to the "Variations" window (Blue Circle) and select a "Attribute" to apply to this variations.
Note: If you don't already have the proper Attributes & Values established, you can click on the "Manage Global Attributes" button (Red Circle) and create a new Attribute (click on the "Add Attribute" button at the top-right) and add it's Values to it by using the "Manage Values" button next to your newly created Attribute. Please also make sure that you enable the "Use For Variation" checkbox when creating your Attribute.
To add an Attribute to this Variation, simply click on "Add".
Next, enter in your Attribute's "Values" by typing and selecting each one to pull it in.
Once all Values are filled in, click on the "Auto create variations" button.
Then click "OK" to confirm the auto-creation.
Next, the system will automatically create those Variant Items for you with it's own Attribute Value" assigned to each one.
Note: On this screen, if you are sending your Variations up to your coreFORCE website you will want to enable the "eCommerce?" checkbox here. Once done, then you go back to the "Item Info" tab to enable the "Is Ecommerce Item" checkbox. By doing this, the "E-Commerce Id" field will automatically populate with it's own unique id for each Variation and for the main Inventory Item.
Name:</u> What is the "Item Name" for the variation.
Item Number:</u> This field is what we would typically use to assign the variations "UPC/EAN/ISBN" barcode to a variant.
SKU:</u> This is what we call the "Product ID" typically, and if you want you can add one for each variation to further define it.
Variation ID:</u> This is a auto-generated number similar to an inventory items "Item ID". This number increases sequentially for each new variation. The starting number number before the "#" is actually the original inventory item's "Item ID".
Next, if want to establish any starting quantities, we can select the "Inventory" tab.
Inside of here, we can give each Variation a qty by filling in the "Quantity" field.
Note: If you add in a starting quantity this way, it will always keep a "Log" of who/how many quantities were moved into or out of your Inventory at the very bottom. (Red Outline)
Next, if we want to add images to our variations, we can go to the "Images" tab.
In here, we can click to upload an image or we can drag and drop one in. Once added, just simply click "Save" to add it to the screen as seen below.
Then, to assign the image to a specific variation, simply select the variant inside of the "Variation" drop-down field.
Finally, click "Save" at the bottom-right.
Now, there are a couple ways to sell a variation. To show you, first go to Sales > New Sale.
Next, we can simply enter in the original inventory item we created.
This will pull in the inventory item with no variation tied to it. This is indicated by the "Empty" field next to the "Variation" field shown below.
To select a variation to add, simply click on the "Empty" field.
Next, we can simply click on the drop-down to select a variation to be pulled in.
Once selected, simply click the "√" button.
Now, we can see that we have a variation tied to our item.
We can also add a variation by simply searching the variations Sku, or Item Number. (Barcode)
By doing that, it will automatically pull in the assigned variation.
