coreSTORE - Getting Started: Employee Settings

In this article, we will cover system settings that affect employee operations and tracking in coreSTORE. By configuring these settings, you can manage employee actions, security and tracking ensuring smooth and secure operations within your store. This guide will help you set up and customize employee-related settings to optimize staff management and operational security.

Click on Settings

To access the core configuration options for your store, head over to "Company" in the navigation menu on the left-hand side of your screen. Then, click on "Settings." This section acts as your central hub for customizing various aspects of coreSTORE to perfectly suit your business needs.

Click on Employee

Within "Company > Settings" look for a menu option "Employees".

Enable Time Clock

Turn on Employee Time Tracking (optional):

Within the employee section of "Company > Settings," you'll find an option named "Enable Time Clock". This activates the time clock functionality for your hourly employees in coreSTORE.

Here's the flexibility: Even with the time clock enabled, you can still designate specific employees as "Not Required to Clock In" under their individual user profiles. This allows for exceptions for salaried staff or those with different work schedules.

Enable Time Clock Paid Time Off

Streamline Time Off Requests with Paid Time Off Integration (optional):

Within the employee section of "Company > Settings" find an option titled "Enable Time Clock Paid Time Off". This activates a dedicated section on the employee time clock specifically for requesting paid time off.

Log Out Automatically When Clocking Out

Automatic Logout for Clocking Out (optional):

Within the employee section of "Company > Settings" , you'll find an option titled "Log Out Automatically When Clocking Out". This setting streamlines the logout process for your employees.

Here's what it does:

When enabled, this feature automatically logs an employee out of any active coreSTORE session on the device they used to clock out. This helps ensure data security and prevents unauthorized access after an employee finishes their shift.

Choice is Key:

Remember, this setting is optional. You can choose to enable it for enhanced security or leave it disabled if employees need to remain logged in for specific post-shift tasks within coreSTORE.

Enable Fast User Switching

Fast User Switching: Convenience with a Caution (optional):

Within the employee section of "Company > Settings" find the option titled "Enable Fast User Switching". This feature lets employees quickly switch between user accounts in coreSTORE by selecting a profile from the top right corner, bypassing the need to re-enter a password.

Benefits:

Efficiency Boost: This can be a time-saver for employees who frequently need to switch between accounts for different tasks.

Security Considerations:

Caution Advised: Enable this setting with care. Bypassing login passwords can make it difficult to track individual employee actions within coreSTORE. It's important to weigh the convenience against the potential risk of unauthorized activity under another user's profile.

Recommendation:

Consider enabling Fast User Switching only in controlled environments where security is less critical.

Require Employee Login Before Each Sale

Ensure Accountability with Employee Login Before Each Sale:

Within the employee section of "Company > Settings" you'll find an option titled "Require Employee Login Before Each Sale". This feature strengthens sales accountability within your store.

Benefits of Enabling Login Before Each Sale:

Accurate Sales Tracking: By requiring logins, you can ensure each sale is clearly linked to the specific employee who rang it up. This provides valuable data for tracking sales performance, identifying top sellers, and analyzing sales trends by employee.

Commission Accuracy: If your business offers commission-based incentives, employee logins ensure commissions are accurately attributed to the correct salesperson.

Improved Security: Login requirements can help deter unauthorized sales or manipulation of sales data.

Remember: While this feature offers clear benefits, it might add an extra step to the sales process for your employees. Consider your workflow and the importance of detailed sales tracking before enabling this setting.

Require Employee Login Before Receiving

Control Inventory with Employee Login Before Receiving (optional):

Within the employee section of "Company > Settings" find "Require Employee Login Before Receiving". This feature strengthens accountability when receiving new inventory into your store.

Benefits of Enabling Login Before Receiving:

Accurate Inventory Management: By requiring logins, you can track exactly who received specific inventory shipments. This helps maintain clear audit trails and ensures responsibility for incoming products.

Reduced Errors: Logins can help minimize errors during the receiving process, as each employee is tied to the specific items they receive.

Improved Security: Login requirements can deter unauthorized inventory receipts or manipulation of inventory data.

Remember: Enabling this feature can be helpful for businesses with high-value inventory or strict receiving protocols. However, it might add an extra step to the receiving process for your employees. Weigh the benefits against potential workflow disruptions before enabling this setting.

Reset Location When Switching Employee

Stay Location-Aware with Reset Location When Switching Employee (optional):

Within the employee section of "Company > Settings", you will find an option titled "Reset Location When Switching Employee". This feature ensures you're always working within the correct location in coreSTORE.

Here's what it does:

When enabled, every time you switch between employee accounts in coreSTORE, your location will automatically reset. This prompts you to select your preferred location where you're currently conducting business.

Benefits:

Improved Accuracy: This feature helps ensure all your actions within coreSTORE are linked to the appropriate physical location. This is especially helpful if you manage multiple stores or have employees working remotely.

Streamlined Navigation: By resetting the location, coreSTORE displays information relevant to your current store, making it easier to find what you need.

Optional Choice:

Remember, enabling this setting is optional. If your employees primarily work from a single location, you might choose to keep it disabled. However, for businesses with multiple locations or mobile workforces, "Reset Location When Switching Employee" can be a valuable tool for maintaining location accuracy within coreSTORE.

Enable Facial Recognition

Modern Login with Facial Recognition (optional):

Within the employee section of "Company > Settings", you will find an option titled "Enable Facial Recognition". This feature leverages facial recognition technology to provide a convenient login method for your employees.

How it Works:

Employees would first set up their facial profiles within coreSTORE. Then, upon arriving at work, they could simply look into a webcam to log in to their accounts, eliminating the need to remember or enter passwords.

Benefits:

Enhanced Security: Facial recognition can add an extra layer of security to employee logins compared to traditional passwords.

Convenience Boost: Employees can log in quickly and easily without fumbling for passwords.

Considerations:

Hardware Requirements: This feature might require compatible webcams on employee workstations.

Employee Consent: It's important to obtain clear consent from employees before enabling facial recognition and ensure they understand how their data is stored and used.

Recommendation:

Carefully consider the security needs, hardware compatibility, and employee comfort level before enabling facial recognition login for your workforce.

Step 10 screenshot

Allow Employees To Use 2FA

Boost Security with Two-Factor Authentication (optional):

Within the employee section of "Company > Settings", you might find an option titled "Allow Employees To Use 2FA" (or similar wording). This feature strengthens login security for your employees by enabling Two-Factor Authentication (2FA).

How 2FA Works:

With 2FA activated, logging in to coreSTORE requires not just a username and password, but also a unique code generated by a secondary method like an authenticator app on a smartphone or a physical security key. This extra layer of verification significantly reduces the risk of unauthorized access to employee accounts.

Benefits of Enabling 2FA:

Enhanced Security: 2FA significantly improves login security by making it much harder for hackers to gain access, even if they steal a user's password.

Protection Against Phishing Attacks: 2FA safeguards against phishing scams where attackers try to trick employees into revealing their passwords.

Implementation Considerations:

Employee Education: Ensure employees understand how to use 2FA and enroll their devices.

Accessibility Options: Consider offering alternative methods for employees who might not have smartphones.

Recommendation:

Enabling 2FA is a highly recommended security practice for most businesses. It adds a powerful layer of protection for your employee accounts and valuable company data within coreSTORE.
