coreILLA - Workflows Builder - How to Use the "Update Contact Field" Action to Automate and Improve Your Workflows

The "Update Contact Field" action allows you to automatically change or update information stored in your contact database based on customer interactions. This is a powerful tool for businesses in the firearms industry to keep records current, track customer journeys, and trigger relevant marketing or compliance workflows.

For example, you can use it to update a customer’s profile with recent purchases, track important information like licenses, or manage engagement preferences for marketing campaigns.

Let’s break it down into very simple terms and walk you through the process of how this works and how it can help your business:

Why Use the "Update Contact Field" Action?

Keeping customer information updated manually is time-consuming, especially for a firearms-related business where compliance (e.g., tracking background checks, licensing), marketing (e.g., promotional updates), and purchase tracking (e.g., gun and ammunition purchases) need to be carefully monitored.

By using this action, you automate the process of updating important fields on your contacts’ profiles. You can automatically:

Update firearm purchase history for a customer.

Track changes in their FFL (Federal Firearms License) status.

Mark engagement preferences, like whether they are interested in handguns, rifles, or ammo.

Adjust a contact’s field after a background check is completed.

How It Can Improve Your Processes:

Saves Time and Reduces Human Error: Automating these updates ensures that you don’t have to manually adjust each contact’s profile, reducing the risk of mistakes. Accurate records are especially important in the firearms industry for both compliance and marketing efficiency.

Improves Targeted Marketing: Use these updated fields to send targeted offers, such as emails promoting specific types of firearms, gear, or accessories based on a customer’s preferences or previous purchases.

Streamlines Compliance: Track licensing, certifications, and background checks, ensuring that you stay compliant with local and federal laws by keeping records up-to-date without manual input.

Purchase History: Did they buy a specific firearm? Select “Last Purchase” or any custom field you’ve created for tracking firearm purchases.

License Expiry Date: Is their gun license or background check about to expire? You can create or select a field like “FFL Expiration” or “Background Check Completed.”

Product Interests: If they’ve shown interest in handguns, rifles, or ammo, update the field that tracks these preferences.

9. You will now set a new value for the field you selected. For example:

If they just purchased a Glock, you can update their "Last Purchase" field with “Glock.”

If they completed a background check, you can update a custom field to “Background Check Passed.”

If they opted into receiving emails about ammunition, set their "Interest" field to “Ammo Buyer.”

10. Once the action is set, save your workflow. Now, whenever the specified event occurs (e.g., purchase, form submission, email interaction), the contact field will automatically be updated without any manual input from you.

11. Example Scenarios:

Automating Background Check Updates:

Create a workflow that triggers once a customer passes a background check. This workflow can automatically update their “Background Check Status” field to “Passed,” ensuring their compliance data is up to date.

Segmenting Customers Based on Purchases:

After a customer buys a rifle, the system can automatically update their “Product Interest” field to “Rifle Enthusiast.” Later, you can use this field to send promotional emails on accessories or ammunition that match their purchase history.

Tracking License Expirations:

If you’re tracking FFL licenses for your customers, use the "Update Contact Field" action to change their "FFL Expiry Date" field whenever they renew or fail to renew their license. This keeps compliance workflows automated and accurate.
